This aligns with how the official conference accommodation booking sites operate and lets us secure your rooms with the hotel immediately. No balance to chase later, no second payment to remember.

What if I need to cancel?

Full refund of all amounts paid for any cancellation received in writing before 1 June 2026. After that date, the booking is non-refundable.

Why a 7-night minimum?

Our contracted rates reflect the conference cycle. The 7-night floor lets us hold the lowest possible price per night while giving most delegations the flexibility to arrive a day or two before or after their working sessions.

Procurement / invoicing / split payment for our organization?

The form accepts personal-card payment for the full amount. If your organization needs an invoice in a different name, a split payment, or non-card terms (purchase order, bank transfer), email cop31@bot-events.com with your delegation details — we accommodate institutional procurement requirements on a case-by-case basis.

Are the hotels suitable for delegations with accompanying parties?

Both properties accept delegations and accompanying parties. For twin / triple rooms, multi-room bookings, or specific requirements (accessibility, dietary, on-site meeting space), email cop31@bot-events.com and we will come back to you within one business day.
